WORKING
TOGETHER.
WORKING TOGETHER.
Clear expectations make better work possible.
Every engagement is different. This page outlines what you can expect from inquiry through delivery, including booking, preparation, travel, materials, media, and other engagement policies.
Specific terms for your engagement will be included in your proposal or agreement. When those terms differ from the general information below, your signed agreement will apply.
WHAT TO EXPECT
BOOKING & CONFIRMATION
Engagements are confirmed through a signed agreement and, when applicable, a deposit.
Before confirmation, you'll receive information outlining the agreed scope of work, investment, timeline, and other details specific to the engagement.
Some organizations have their own contracting, procurement, vendor registration, or payment processes. If that's the case, we'll work through those requirements during the booking process.
An engagement is not considered confirmed until the required agreement, deposit, or other booking requirements outlined in your proposal have been completed.
INVESTMENT, INVOICING & PAYMENT
Investment is based on the scope, format, preparation, customization, and needs of the engagement and will be communicated before booking.
Depending on the engagement, payment may be structured as a single payment or divided into installments.
Invoices are issued according to the agreed payment schedule. Available payment methods and applicable payment terms will be included with the invoice or engagement agreement.
A W-9 and standard vendor documentation can be provided upon request.
If your organization has specific procurement, payment, invoicing, or processing requirements, please share them during planning so they can be considered before the engagement is confirmed.
CANCELLATIONS & RESCHEDULING
Plans change. When they do, early communication gives us the best opportunity to find a workable solution.
Cancellation and rescheduling terms may vary based on the type of engagement, preparation already completed, travel arrangements, and proximity to the scheduled date. Specific requirements will be outlined in the engagement agreement.
For coaching and individual sessions, at least 48 hours' notice is generally requested for cancellations or rescheduling. Late cancellations or missed sessions may be forfeited.
When applicable, payments already made may be credited toward a rescheduled engagement according to the terms of the agreement.
PREPARATION, CUSTOMIZATION & SCOPE
Each engagement includes preparation appropriate to the agreed scope of work. The time spent in the room represents only one part of the engagement. Depending on the format and level of customization, preparation may require several hours or more of work before delivery.
Preparation may include discovery and planning conversations, research, session design, adaptation of existing materials, development of activities or participant resources, presentation preparation, stakeholder coordination, and other work necessary to support the engagement.
Signature workshops and talks may be adapted to reflect the audience, organizational context, and agreed goals. Team retreats, multi-session programs, custom workshops, and other extended engagements may require a greater level of discovery, design, development, and preparation. This work is considered part of the overall scope and investment, even when it occurs outside of the scheduled session or event.
The agreed scope will be outlined before the engagement is confirmed. Requests that materially change the audience, objectives, content, format, duration, deliverables, number of sessions, or level of customization may constitute a change in scope.
If the scope changes after confirmation, any resulting adjustments to preparation requirements, timeline, deliverables, or investment will be discussed and agreed upon before additional work is completed.
Client-requested revisions, additional meetings, or new deliverables beyond those included in the agreed scope may require an additional fee.
MATERIALS & PARTICIPANT RESOURCES
Depending on the engagement, participants may receive worksheets, reflection tools, frameworks, guides, or other supporting materials.
Materials may be provided digitally or in another agreed format. Unless otherwise arranged, the hosting organization is generally responsible for printing or distributing participant materials when physical copies are required.
Materials are intended for the audience and use established as part of the engagement. Reproduction, redistribution, modification, facilitation, or use beyond the agreed scope may require additional permission.
Additional terms regarding ownership and usage are outlined under Intellectual Property below.
ENGAGEMENT LOCATION, TRAVEL & ACCOMMODATIONS
Li Miles is available for virtual and in-person engagements, including local, domestic, and international opportunities. Format and location will be determined based on the goals of the engagement, audience needs, schedule, and availability.
Virtual Engagements
Virtual workshops, speaking engagements, coaching sessions, and other facilitated experiences may be delivered through the hosting organization's preferred platform or another agreed-upon platform.
For virtual engagements, the hosting organization is generally responsible for providing appropriate access, technical information, and necessary participant links in advance. Depending on the scope, a technology check or platform walkthrough may be scheduled prior to the engagement.
Virtual delivery does not reduce the preparation, customization, or intellectual work required for an engagement. Professional fees are based on the scope of work, not solely on whether an experience is delivered virtually or in person.
In-Person Engagements
For engagements requiring travel, transportation, lodging, and other reasonable travel-related expenses are separate from the professional fee unless otherwise stated in the proposal or agreement.
Travel arrangements may be coordinated by the hosting organization or arranged by Li Miles and incorporated into the engagement agreement. Depending on the location and schedule, travel-related expenses may include airfare or rail transportation, ground transportation, mileage, parking, lodging, baggage fees, and other reasonable costs associated with completing the engagement.
When overnight travel is required, accommodations should provide a safe and appropriate environment for rest and preparation. The number of nights required will be determined based on the engagement schedule, travel time, location, and reasonable arrival and departure needs.
For engagements requiring significant travel, arrival may be scheduled in advance to allow adequate time for travel, preparation, and potential delays.
International Engagements
International engagements are welcomed and may require additional planning related to travel schedules, passports, visas or entry requirements, transportation, lodging, local logistics, and other applicable requirements.
Any additional time, documentation, expenses, or logistical considerations associated with international travel will be discussed during planning and incorporated into the engagement terms as appropriate.
Travel expectations, responsibilities, anticipated expenses, virtual technology requirements, and other logistical considerations will be discussed and confirmed before the engagement.
AUDIO / VISUAL & ROOM SETUP
Technical and room requirements will vary based on the engagement format, audience size, venue, and planned activities.
Common needs may include:
A microphone for larger audiences
A screen or projector when presentation materials are used
Appropriate audio capabilities
Reliable internet access when required
A room configuration that supports planned discussion, movement, activities, or participant interaction
Specific requirements will be communicated during planning.
** The hosting organization is responsible for communicating known venue or technology limitations in advance and for ensuring agreed-upon equipment, access, and room arrangements are available at the time of the engagement.
PHOTOGRAPHY, RECORDING & CONTENT USAGE
Recording, photographing, or otherwise capturing a workshop, presentation, facilitated experience, coaching session, or other engagement content by the client or participants requires advance discussion and approval.
Unless otherwise agreed in writing, approved recordings, photographs, presentation materials, worksheets, frameworks, and other engagement content are limited to the agreed use and may not be publicly distributed, republished, sold, reproduced, used for commercial purposes, or incorporated into derivative training or educational materials.
Li Miles may photograph, record, or otherwise document portions of the engagement and its development, including planning, preparation, client onboarding, discovery, travel, behind-the-scenes activities, and delivery. Selected content may be used for educational, portfolio, website, marketing, social media, or other promotional purposes when appropriate.
Confidential organizational information, proprietary materials, sensitive discussions, and personally identifying information will not knowingly be publicly shared without appropriate permission. Where additional consent or authorization is required, content will not be publicly used until the appropriate permissions have been established.
Organizations with confidentiality requirements or restrictions related to photography, recording, participants, employees, students, facilities, or internal spaces are responsible for communicating those restrictions before the engagement or content capture occurs.
If your organization intends to record an engagement or requires specific media, privacy, or content-use terms, please raise those needs during planning so permissions, usage rights, and any applicable terms can be established in writing.
PARTICIPANTS UNDER 18
For engagements involving participants under the age of 18, the hosting organization is responsible for communicating applicable consent, privacy, photography, recording, and media requirements before the engagement.
Where required, the hosting organization is responsible for obtaining appropriate parent or legal guardian consent, participant releases, or other necessary authorization. Participation in an engagement does not, by itself, constitute permission for a minor's name, image, voice, likeness, or other identifying information to be used publicly.
Any restrictions involving minors must be communicated to Li Miles before photography, recording, or content capture takes place.
INTELLECTUAL PROPERTY
Unless otherwise agreed in writing, all original frameworks, presentations, worksheets, activities, exercises, facilitator materials, and other content created or provided by Li Miles remain the intellectual property of Li Miles and/or Self-Mastery LLC, including materials customized or adapted for a specific engagement.
Materials provided as part of an engagement are licensed for their intended participant or internal organizational use. Providing access to these materials does not transfer ownership or intellectual property rights to the client, organization, or participants.
Materials may not be reproduced for broader distribution, modified or adapted for redistribution, resold, published, publicly shared, incorporated into another training or program, or used to create derivative materials without prior written permission.
Unless otherwise agreed, materials may not be used to independently facilitate, teach, reproduce, or deliver Li Miles's frameworks, activities, or session content to additional audiences.
Any expanded licensing, reproduction, facilitation, or usage rights will be outlined separately in writing when applicable.
